How RH Seating compares,including where it loses.

Seven tools do something close to what we do, and three of them are cheaper. Rather than pretend otherwise, here is what each one costs, what it is good at, and exactly who should pick it instead of us.

Every price below was read from the linked page on 14 September 2026 and is what that page said on that day. Prices in this category move; check the link before you rely on it. This is our comparison of our own competitors, so read it knowing that. Who we are and why we built this is a page rather than a paragraph.

RH Seating

First event free through 250 guests. Later events are free through 50, then $19 up to 150 or $49 up to 500.

Refundable until your event is over. Build the entire thing before paying anything.

The arrival, not just the table

A guest who scans gets their table, their exact chair, the names of the people beside them, the menu with what each dish contains, the floor plan of the room and your registry. Most tools in this category return a table number and stop.

The printing comes out of the seating

Escort cards, place cards, table numbers and entrance signs are generated from the seating you already built, so the paper on the table and the answer on the phone cannot disagree. A calligrapher charges $150 to $400 for the sign alone, and again if a guest cancels.

A free tier that is not a trial

Your first event publishes up to 250 guests, live and permanently. That is a more generous first-event allowance than any paid competitor on this page, and there is no expiry date on it.

The person who answers is the person who built it

On paid events, help on the day comes from the developer, not a ticket queue. At our size that is a real promise rather than a marketing line, and it is the reason it is only offered on paid tiers.

Nobody can browse your guest list

A name has to be typed before anything is returned, so scanning your code does not hand a stranger a directory of everyone at your wedding.

17 languages, chosen per event

The whole guest page arrives in the language you pick, rather than an English page with a translate button on it. A guest who reads another can switch to theirs.

What they do well

The best value in the category for a big room. A drag-and-drop planner with a QR finder, CSV import and no guest ceiling, for less than the price of two coffees, and their reviews come from named people running 350 and 700 guest events.

Choose them if

your event is larger than 500 guests, or price is the deciding factor and a table number is all your guests need.

The difference

Their guest sees a table. Ours also sees the exact chair, who is sitting beside them, the menu with allergy notes, the floor plan and the registry, in any of 17 languages.

What they do well

By far the widest product here. Photo sharing, an audio guestbook, a live slideshow, RSVP with meal choices, a wedding website and a music playlist, all on one QR code, with a 14 day money back guarantee.

Choose them if

you want a broader wedding suite with RSVP, audio messages and a live slideshow. RH Seating also offers guest photo sharing as a separate add-on, with a limited trial and self-service checkout when payments are available.

The difference

Seating is one feature inside a much larger suite there, and the whole suite is $79. Here it is the entire product, it costs $49, with chair-level assignment, printed escort and place cards generated from the seating, and guest pages in 17 languages. Photo sharing is priced separately here.

What they do well

Built for large and corporate events, with an anonymous guest view and templates. Their $99.99 tier carries a thousand guests and adds a custom floor plan upload and check-in tracking with exports.

Choose them if

you are past 500 guests and want check-in tracking and a custom floor plan in the same tool. On price alone at that size, Simplify Tables above is cheaper than either of us.

The difference

Their $49.99 for 500 guests is within a dollar of our $49. Their guest demo also shows tablemates, a menu, a floor plan and a schedule. RH Seating focuses on exact-chair planning, allergy notes, registry links and stationery generated from the same seating plan. Compare the plan inclusions before choosing.

What they do well

The strongest floor plan tool of the group. AI floor plan import from a photo or PDF, real-time collaboration, version history and restore, and Apple and Google Wallet passes that update when a seat changes. CAD and DXF import at exact scale is real but sits on the £35 a month plan.

Choose them if

you are a planner or venue laying out rooms repeatedly and want CAD accuracy and collaborators.

The difference

The guest QR finder is not in their free tier; it starts on the £14 plan. Their strength is the room, ours is what the guest reads when they arrive in it.

What they do well

Free, quick, and built by wedding photographers who have stood at a lot of receptions. Create an event, upload a CSV, print the code.

Choose them if

you want a table number in front of guests today and nothing else.

The difference

No menu, no allergy notes, no registry, no printed stationery, no chair-level seating. If none of that matters to you, it is a genuinely good free tool and you should use it.

What they do well

A clean table finder with nickname matching, so "Mike" finds "Michael", sitting alongside their photo sharing.

Choose them if

photo sharing is the main thing you want and the seating is a bonus.

The difference

Their own page describes the seat finder as complementing a physical seating chart rather than replacing it. Ours is built to replace it, which is why it carries the menu, the plan and the registry too.

What they do well

Very simple and quick to set up. Their FAQ says the event QR stays the same, guest access runs through one week after the event, and edits have a separate two-week grace period.

Choose them if

you want a short table-finder setup. They also advertise an optional guest photo gallery.

The difference

Guest access opens 90 days before the event on their plan. Here the guest page is live the moment you publish it, and stays in your account afterwards.

When you should not use us

Four situations where something on this page is a better answer than we are. We would rather you found this out here than after paying.

Over 500 guests

Our largest plan stops at 500. Simplify Tables has no ceiling at $9.99 and DigiSeats sells past 1,000. If your list is bigger than ours, go to them.

Photo sharing

RH Seating offers photo sharing with a limited trial and a separate paid add-on. Self-service checkout appears when payments are available; otherwise the dashboard offers a support route. For audio messages, a live slideshow or a broader wedding suite, consider Wedibox.

Cheapest possible

Free tools exist and they work. Your first event here is free through 250 guests; later events are free through 50 and start at $19 after that, which is more than $0. What the money buys is on the rest of this page, and if none of it is worth $19 to you, that is a reasonable conclusion.

Venue and planner tooling

RH Seating has event collaborators and reusable venue layouts. It does not currently offer simultaneous live editing, named version restore, physical room units or CAD import. SeatPlan.io goes further in those areas.

Is RH Seating really free?
Your first event publishes free for up to 250 guests, with no card. Later events stay free through 50 guests; larger ones use a one-time payment per event - $19 up to 150 guests or $49 up to 500 - never a subscription.
Which tool is cheapest for one wedding?
It depends on the size of the wedding. As each tool's own page read on 14 September 2026: SeatScan lists no paid tier at any size, RH Seating publishes a first event free through 250 guests, Simplify Tables is free to 30 guests and $9.99 per event beyond that with no guest ceiling, DigiSeats is $49.99 per event up to 500 guests, and Wedibox includes its seating chart in the $79 plan. So most weddings under 250 guests cost nothing here, and for a very large one Simplify Tables is the cheapest paid option.
Do any of these tools let guests find their own seat?
Yes, every tool on this page does in some form: each gives guests a QR code or link that looks up their table, though on SeatPlan.io the guest finder starts on a paid plan. The difference is what the guest gets back. Most return a table number. RH Seating also returns the exact chair, who is sitting beside them, the menu with allergy notes, the floor plan and the registry, behind a private name search.
Can I import my guest list from a spreadsheet?
Yes. RH Seating imports CSV guest lists and shows every row before anything publishes, so a list started in Excel or Google Sheets moves over in seconds.
